Who We Are

This privacy policy explains how Eventure London, trading as Eventure.London, collects, uses, and protects your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Eventure London is run by the same owner as An Eventful Day, our event styling and décor business. They are separate brands, and we only pass your details between them if you ask us to (see section 03).

What Data We Collect

We collect personal data that you provide to us directly, including when you submit an enquiry, build a quote, or place a booking. This may include:

• Your name and contact details (email address, phone or WhatsApp number)
• Event details (date, location or postcode, type of event, guest numbers) and the marquee, furniture and extras you choose
• Anything you type into the notes box, and the optional budget box if you ask about styling
• If you use Save my quote: your name (optional), your WhatsApp number or email address, and your quote
• Payment information (bank transfer references — we do not store card details)
• Correspondence between you and Eventure London (email, phone calls and WhatsApp)

When you visit our website, our hosting provider's servers automatically record technical data such as your IP address and browser type in standard server logs. We do not use analytics or advertising trackers.

How We Use Your Data

We use your personal data for the following purposes:

• To fulfil your booking — processing your enquiry, providing a quote, and managing your hire contract
• To communicate with you — responding to enquiries, confirming bookings, and providing event updates via email, phone, or WhatsApp
• To follow up a saved quote — if you use Save my quote and tick the consent box, we may contact you once or twice about that quote, using the WhatsApp number or email address you gave us
• To talk about styling — if you tick the styling option, we may share your enquiry (including any budget you entered) with An Eventful Day so we can talk through ideas with you
• To process payments — managing deposits, balances, and invoicing
• To comply with legal obligations — such as maintaining financial records
• To improve our service — using anonymised feedback to improve our processes and website

Legal Basis for Processing

Under UK GDPR, we rely on the following lawful bases for processing your personal data:

• Contract — processing is necessary to prepare a quote at your request and to fulfil our hire agreement with you
• Consent — for following up a saved quote, for sharing your styling enquiry with An Eventful Day, and for any marketing communications you opt in to. You can withdraw consent at any time
• Legitimate interests — to respond to enquiries, run our business and keep our website secure
• Legal obligation — to comply with financial record-keeping requirements

We do not send marketing messages unless you have opted in to receive them.

Your Quote on Your Device

Our quote calculator saves your in-progress quote in your browser's local storage, on your own device, so you can carry on if you refresh the page or come back later. This can include anything you have typed into the form, such as your name, email address, phone number, venue and notes.

This information stays on your device. It is not sent to us unless you submit your quote or use Save my quote. It remains until you press Reset in the calculator or clear your browser's site data.

When you submit a quote you can also copy a share link. The link contains your quote selections (and any styling budget you entered) but not your contact details. Anyone who has the link can see those selections, so please share it with care.

How Long We Keep Your Data

We retain your personal data only for as long as necessary for the purposes outlined in this policy:

• Client and booking records — retained for 6 years following the event date, in line with UK financial record-keeping requirements
• Enquiries and saved quotes that did not proceed to booking — deleted within 12 months
• Marketing communications — until you withdraw consent or unsubscribe

Who We Share Your Data With

We do not sell or rent your personal data to third parties. We may share your data with trusted third parties only where necessary, including:

• Formspree — our website form provider, which processes the quote, enquiry and Save my quote forms you submit on our behalf
• WhatsApp (Meta) — used as a communication channel for enquiries and booking updates
• Email providers — Microsoft Outlook, used to manage client correspondence
• An Eventful Day — our sister business, only if you ask about styling
• Our website hosting provider — which stores the website and its server logs
• Google (Google Fonts) and jsDelivr — when you open our pages, your browser fetches fonts and a date-picker script from these services, so they receive your IP address and browser details
• Accountants or legal advisors — where required for financial or legal compliance

Some of these providers, including Formspree, are based in or process data in the United States. Where your data is transferred outside the UK, we rely on the safeguards the provider has in place, such as standard contractual clauses, which Formspree states it uses. Please contact us if you would like more information.

All third parties are required to handle your data securely and in accordance with applicable data protection law.

Your Rights

Under UK GDPR, you have the following rights regarding your personal data:

• Right of access — you can request a copy of the data we hold about you
• Right to rectification — you can ask us to correct inaccurate or incomplete data
• Right to erasure — you can ask us to delete your data where there is no legitimate reason to retain it
• Right to restrict processing — you can ask us to limit how we use your data
• Right to object — you can object to processing based on legitimate interests
• Right to data portability — you can ask for the data you gave us in a commonly used format
• Right to withdraw consent — where we rely on consent, you can withdraw it at any time

If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies and Similar Technologies

Our website may use essential cookies to ensure it functions correctly. We do not use tracking, advertising, or analytics cookies. The quote calculator uses your browser's local storage as described in section 05. If this changes, this policy will be updated accordingly.

Data Security

We take the security of your personal data seriously. We use appropriate technical and organisational measures to protect your data against unauthorised access, loss, or disclosure. Our website uses SSL encryption (HTTPS) and client communications are managed through secure, password-protected accounts.

Changes to This Policy

We may update this privacy policy from time to time. The most current version will always be available at eventure.london/privacy.html. We will notify clients of any significant changes where required.
